An online auto parts store imported goods from China through cargo channels. As long as the volumes were small, the scheme seemed convenient. Problems started with the increase in sales: marketplaces requested documents for filters and brake pads, but the seller could not quickly confirm the legal import and compliance of the products with the EAEU requirements. The cards were at risk of being blocked, and a new batch weighing 900 kg was already being assembled from several Chinese suppliers.
TransGID's task was to transfer the import of auto parts from China to a white scheme and maintain the delivery time to Moscow. To do this, it was necessary to combine goods from different factories, check documents for each item, prepare the cargo for customs clearance and send it by road through Kazakhstan.
Why cargo started interfering with sales on marketplaces
In the cargo scheme, the client received the goods, but not the full set of documents that links a specific batch with the importer. As long as no one requested proof of origin, the problem remained незаметной. After checking the cards on the marketplace, the lack of documents became a direct risk to sales.
The previous scheme had three weak points.
- Documents for the goods. The seller needed invoices, conformity assessment documents and confirmation of customs clearance. Without them, it is difficult to respond to the platform's request and prove that filters, brake pads and sensors were imported legally.
- Taxes and payments. Cargo did not allow the client to transparently confirm the customs value, duties and VAT. With the growth of turnover, such uncertainty interferes with accounting, working with banks and sales to legal entities.
- Delivery time. The client could not plan warehouse replenishment in advance: the date of shipment and border crossing depended on the cargo channel. For an online store, a delay means that popular items are running out, cards are losing sales, and money remains in goods that have not yet arrived.
How white delivery from China through Kazakhstan was organized
The route through Central Asia was preserved, but the transportation and documents were collected into a single legal scheme. Work began before the vehicle departed: the team checked information about the goods and suppliers, calculated customs payments and prepared the batch for consolidation.
1. Checked the contract, invoices and commodity items
For official import, an foreign trade contract and invoices with a clear description of each item were prepared. The documents compared the name of the goods, quantity, cost, manufacturer and country of origin. This is important for customs clearance of goods from China: discrepancies in the description or cost can lead to additional requests and delay in release.
Filters, brake pads, sensors and other parts were classified separately according to FEA codes. The code determines the duty rate and the list of permits, so goods cannot be combined under the general name «auto parts».
2. Determined the requirements for compliance documents
For each group of goods, it was checked whether a declaration or certificate of conformity is required. The necessary declarations were prepared before sending the batch. Thanks to this, the documents for auto parts were ready for customs control and subsequent verification by the marketplace.
The client understood in advance what documents he would receive after import and would be able to transfer to the marketplace or wholesale buyer. This procedure reduces the risk of cargo being stopped due to a missing document or discrepancies between the declaration and the invoice.
3. Collected goods from several factories in one warehouse
Suppliers shipped parts on different dates and in different packaging. At the warehouse in China, the goods were accepted, verified against the packing lists and combined into one batch weighing 900 kg. The boxes were repackaged onto pallets, marked and secured so that the cargo would not shift in the vehicle.
Consolidation allowed sending parts in one batch and not pay for separate transportation from each factory. Warehouse verification also helped to detect discrepancies before shipment, when it is easier to contact the supplier and replace the packaging.
4. Sent the batch as consolidated cargo LTL
For a batch weighing 900 kg, a separate vehicle would be excessive, so LTL consolidated cargo delivery from China by road was chosen. In LTL format, the client pays for the space occupied by his batch, and in one vehicle there are cargoes of several recipients.
For the international section, a CMR waybill was issued. The route went through Kazakhstan, then the cargo was delivered to Moscow. The total road delivery period was 12–14 days, comparable to the period the client was guided by when working with cargo.
What the online store received
After customs clearance, the client received the batch and a set of documents confirming official import. Now the seller can respond to marketplace requests, confirm the origin of the goods and transfer documents to large wholesalers and legal entities.
The schedule of shipments from the warehouse became fixed, so purchases can be planned in advance: take into account the production time, consolidation, road transportation and customs clearance. For business, this means fewer pauses between deliveries and a lower risk of running out of popular items.
